What we keep,
and why.
We hold the details we need to move your cargo and reach you about it. Nothing more, and nothing sold to anybody.
This page explains what Airvax Express Cargo collects when you use this website, ask for a quote, or send us a shipment — and what we do with it. It is written in plain English on purpose. If anything here is unclear, ask us and we will explain it.
What we collect
- Who you are. Your name, phone number, WhatsApp number and email address.
- Where it goes. The delivery address, who is receiving the parcel, their phone number, and any note for the courier such as a gate code.
- What you are shipping. Product links, descriptions, quantities, declared values, invoices or receipts from the seller, and the weight and dimensions we record ourselves.
- Photographs of your parcels. We photograph goods on arrival at our warehouse and again once packed, usually with the scale reading visible.
- What you sent us. The contact and Buy & Ship forms on this site keep whatever you typed into them, plus your IP address, which we use only to stop the forms being abused.
Why we collect it
To do the job. We cannot quote a shipment without knowing what is in it, we cannot clear it through customs without the paperwork, and we cannot deliver it without an address and a number to ring. The photographs exist so that if something is damaged or missing you have evidence of the condition it reached us in, and so do we.
We also use your phone number to send you the tracking link and to tell you when something needs your decision.
Talking to you on WhatsApp
Most of our conversations happen on WhatsApp because that is where our customers already are. Those messages travel through WhatsApp's own service, under their terms and their encryption — not ours. We keep the parts of a conversation that matter to your shipment (what you approved, the address you gave us) in our own system. If you would rather not use WhatsApp, email or a phone call works just as well.
Payments
This website does not take payments. There is no card form anywhere on it and we never ask for card details by message. Invoices are settled by bank transfer or in person, and the only payment information we hold is the amount, the date and the reference you gave us.
Who else sees it
Only the people who have to: the airline or shipping line carrying your goods, the customs authorities in both countries, and the courier making the final delivery. They get what the shipment requires — usually the recipient's name, address and phone number, and a description of the contents. We do not sell your details, and we do not pass them to anybody for marketing.
How long we keep it
Shipment records, invoices and customs paperwork are kept for six years, because tax and customs rules require it. Parcel photographs are kept for two years. Enquiries and Buy & Ship requests that never became a shipment are kept for two years and then deleted. Your saved contact details stay on file while you are a customer; ask us and we will remove them, except where a record must legally be kept.
Keeping it safe
Access to our system is per-person and permission-based: a warehouse hand can see parcels and shipments and nothing else. Passwords are stored hashed, never in readable form. Parcel photographs are not published at a guessable address — each one has a random filename and is served only to the people entitled to see it.
Your choices
You can ask us what we hold about you, ask for a correction, or ask us to delete it. You can tell us to stop messaging you at any time and we will still be able to run your shipment. Write to us and we will deal with it — there is no form to fill in.
Cookies
The public pages of this site set no tracking cookies and carry no advertising pixels. Staff signing in to the admin panel get one session cookie, which exists only to keep them signed in and is removed when they sign out.
